Custom web
development.
Built around you.

A destination resort. A busy service department. A business running bookings, rentals and parts sales together. We build the customer-facing website and the tools behind it around the way your team works.

Built for the businesses around us
Buffalo Trail public resort website by TooFast

When reservations, work orders and staff updates are spread across spreadsheets and separate inboxes, a larger build can bring the process together. Based in West Virginia, we build for businesses across the country and beyond. Discovery, design reviews, training and handover can be handled remotely.

The capabilities below are options for a scoped custom project. Your proposal defines the included features, integrations, delivery milestones and ongoing software costs.

Large resorts & multi-property businesses

One destination.
Many moving parts.

Show the experience beautifully, then give reservations, the front desk and property staff a system that reflects how the resort runs. Plan one property or several, with different accommodation types and the services around them.

01

Properties, units & accommodation types

Bring cabins, lodge rooms, RV sites and campsites into a structure guests can understand and your team can manage.

  • Separate properties, unit types, capacities, amenities and accessible features.
  • Search by dates, party size and the accommodation details that matter.
  • Property maps, galleries, policies and clear arrival information.
02

Availability, rates & booking rules

Plan availability around the actual rules of your operation, including seasonal demand and the resources you share.

  • Seasonal and date-specific rates, minimum stays and arrival restrictions.
  • Maintenance holds, owner blocks and time-limited reservation holds.
  • Agreed fees, discounts, packages and client-provided tax rules.
03

Direct bookings & guest payments

Build a clear path from finding a stay to receiving a confirmation, using the agreed booking software and payment provider.

  • Unit selection, guest details, policy acceptance and checkout.
  • Deposits, balance-due dates and payment reminders where supported.
  • Add-ons such as firewood, early arrival or equipment rental when included in scope.
04

Front desk & guest communication

Give the people answering the phone the context they need to handle a reservation without searching several spreadsheets.

  • Reservation searches, guest records, group inquiries and special requests.
  • Changes, cancellations, arrivals and departures through agreed staff workflows.
  • Confirmation, pre-arrival and follow-up messages tied to the reservation.
05

Housekeeping & maintenance

Connect the reservation calendar to the work that makes a unit ready for its next guest.

  • Departure lists, cleaning assignments and ready/inspected status.
  • Maintenance tickets with unit, priority, notes and photos.
  • Staff handoffs and availability blocks for rooms or sites needing attention.
06

Rentals, activities & shared resources

A stay may involve more than a cabin. We can scope the calendars and capacity rules for the rest of the experience.

  • ATV/SXS rentals, guided rides, equipment and bookable facilities.
  • Duration, turnaround buffers, resource capacity and staff availability.
  • Pickup/return checklists and agreement or waiver-provider connections.
Powersports, dealerships & repair shops

From the service counter
to the shop floor.

A service writer needs more than an appointment form. We can scope the customer record, estimate, work queue, technician handoff and parts information that carry a job from the first request to pickup.

01

Customer & machine intake

Start a useful repair record at the counter or through an online service request.

  • Customer contact, machine details, VIN/serial number and service history.
  • Reported symptoms, requested work, intake photos and drop-off notes.
  • A service writer’s review before an inquiry becomes a confirmed job.
02

Estimates & customer approval

Keep the proposed work, expected cost and approval record together.

  • Itemized labor, parts, diagnostic charges and supplied pricing rules.
  • Customer approval requests, recorded decisions and estimate revisions.
  • Additional-work approval when diagnosis changes the original scope.
03

Technician, bay & appointment scheduling

Schedule around shop capacity, rather than treating every appointment as the same amount of work.

  • Technician skills, working hours, bays and equipment requirements.
  • Job duration, due dates, drop-off windows and promised pickup times.
  • A dispatch view showing workload, blocked time and jobs ready to move.
04

Repair orders & technician workflow

Give service writers and technicians one agreed picture of what is happening with a job.

  • Statuses such as diagnosis, awaiting approval, waiting on parts and in progress.
  • Assigned tasks, inspection checklists, labor time, notes and photos.
  • Internal notes separated from the updates the customer can see.
05

Parts tied to the job

Make it clear which parts are needed, available or holding up completion.

  • Parts requests, reservations and ordered/received status against a repair order.
  • Approved inventory, supplier or catalog connections where access is available.
  • A defined source for stock and pricing when service and retail share inventory.
06

Completion, payment & pickup

Carry the record through the final handoff so the counter has the details when a customer returns.

  • Completion checks, ready-for-pickup messages and service documents.
  • An agreed invoice/payment workflow or connection to the system you already use.
  • A completed service history and exports for administration or accounting.
A full backend, with clear responsibilities

The right view.
For the right person.

The administrative system should make everyday work easier. We plan the screens, permissions and handoffs for each role, with a customer or guest portal when it serves the operation.

Owner / manager

A view across the operation

Occupancy, arrivals, open repair orders, workload and agreed financial summaries; control over rates, settings and staff permissions.

Front desk / reservations

Guest and booking work

Reservation changes, arrival lists, guest communication and unit readiness, with access limited to the responsibilities you assign.

Housekeeping / maintenance

The next task to complete

Assigned units or tickets, checklists, photos and status updates in a layout staff can use on a phone or tablet.

Service writer / dispatcher

The service counter and job queue

Intake, estimates, customer approvals, parts holds and scheduling, with a clear handoff to the assigned technician.

Technician / shop staff

The work assigned to them

Job instructions, inspections, labor entries and parts requests, with control over which customer and pricing details they can view.

Guest / customer

Their own records

An optional authenticated portal for their bookings, service updates, approvals, documents and payment links.

Access & accountability

Define who can view, change, approve or export information. Scope activity history, customer-visible updates and record-retention rules around the data involved.

Useful queues & reporting

Prioritize arrivals, unassigned work, estimates awaiting approval and parts holds. Agree the reports your managers need and the data required to produce them.

Recovery & ownership

Plan backups, recovery responsibilities, documentation and administrator handover. Agree hosting, software licenses and ongoing maintenance before launch.

Custom programming & connected systems

Build the missing piece.
Connect the useful ones.

A custom solution may be a new application, a WordPress extension or a connection between systems you already depend on. We choose the approach after understanding the workflow and the available interfaces.

01

Custom applications & WordPress development

Build the missing workflow when a standard website package cannot cover it.

  • Purpose-built forms, calculators, quoting tools and approval processes.
  • WordPress plugins, extensions and improvements to an existing application.
  • Business rules that move information between the right people and screens.
02

Existing booking, shop & business systems

Keep a useful system in place and connect the parts that can be connected.

  • Documented booking/PMS, shop/DMS, CRM and accounting interfaces.
  • Supported payment, messaging, waiver and calendar-provider integrations.
  • A defined sync direction, update schedule, error handling and staff fallback.
03

Parts catalogs, commerce & data migration

Plan how products and existing records enter the new system and stay useful.

  • Storefronts, product categories, supplier feeds and approved catalog connections.
  • Mapping SKUs, stock, pricing and fitment data supplied by an authorized source.
  • Reviewed imports for products, customers, bookings or service records, with trial runs.
From a business problem to a working system

A bigger build needs
a clear plan.

We turn the brief into a build your team can review, use and maintain. The scope follows the operation, with a written proposal before development begins.

  1. 01

    Understand the operation

Walk through a real reservation, repair order or sale. Identify the people, locations, existing software, bottlenecks and business rules that shape the build.

  2. 02

    Write the project blueprint

Agree the workflows, screens, integrations, data ownership, deliverables and acceptance criteria. Separate the first release from features that can follow.

  3. 03

Design the customer and staff journeys

Review the public website and the screens staff will actually use. Confirm a booking, an estimate approval or a daily work queue before development goes too far.

  4. 04

    Build in useful phases

Develop and demonstrate agreed milestones. Test the booking rules, permissions and connections with representative data and the people responsible for using them.

  5. 05

    Rehearse the changeover

Review imports, existing reservations or open jobs, payment settings and launch-day responsibilities. Train staff, document key tasks and agree the recovery plan.

  6. 06

    Launch, monitor & improve

Complete the agreed launch checks, monitor the new workflows and support the handover. Plan ongoing maintenance, hosting and later enhancements around the system’s needs.

Know what the proposal covers.

Deliverables and exclusions. Supported integrations. Data migration. Staff training. Acceptance checks. Payment and release milestones. Hosting, licensing and maintenance costs. A clear process for approving changes as the project develops.

Custom projects are priced after scoping. For a focused website with standard requirements, our fixed website packages offer a defined starting point.

Before you start

The details behind
a custom proposal.

Practical answers for a project that reaches further than a standard website build.

Can one project combine a resort website, bookings and staff tools?

Yes. We can scope a connected project covering the public website, reservation journey and staff workflows. We first map which information needs to move between them and whether your existing booking system should remain the main source of reservation data. Larger operations can launch in phases.

Can you build a full service-writer and repair-order backend?

We can scope intake, estimates, approvals, technician and bay scheduling, parts status, repair orders, customer updates and completion records. The blueprint defines what is built, what stays in an existing shop system and how invoicing or inventory will connect.

Will this replace our current PMS, DMS or accounting software?

That is a project decision, rather than an automatic requirement. We review what already works, the access each provider allows and the cost of changing systems. The right solution may be a new website and a supported connection, a focused custom tool or a more substantial replacement.

Can availability or inventory stay synchronized everywhere?

We assess each provider’s supported interface and update behavior before committing to a connection. Calendar feeds, stock feeds and APIs have different limits and delays. Your proposal identifies the source of truth, supported synchronization and the process for handling exceptions.

How are large projects priced and paid for?

Custom solutions receive a written proposal covering deliverables, milestones, the payment schedule and ongoing costs such as hosting, licenses and provider subscriptions. Approved projects are quoted and invoiced through the TooFast client portal. Any substantial discovery work and its cost are agreed before it begins.

How long does a custom project take?

We plan larger builds around discovery, integrations, data readiness, review and release milestones. The proposal establishes a realistic schedule and what is needed from your team. If one part can deliver value sooner, we can plan an initial launch followed by later releases.

Let’s scope the right build

Tell us how your
operation works.

Start with the problem you want to solve and the people who need to use the system. You do not need a finished specification.

  • What do you operate, and across how many locations?
  • Which booking, service, inventory or accounting tools do you use today?
  • What is slowing the team down, and what must the first release do?
  • Are there existing records, reservations or open jobs to bring across?

We’ll review your brief and follow up to establish the scope, dependencies and next step toward a written proposal.
